Financial settings

In the ProviderFinancial settings section, you can configure automatic invoices, work with contracts, credit limits, and payer parameters.

Some values in this section can also be changed in the configuration file. For more information, see the article Configuration file.

Main settings

Round expense amount to two decimal places  — enable this option so that the system rounds expenses to two digits after the decimal point in invoices and contracts. Rounding is always up. By default, the option is disabled. In the database, expense amounts are stored with up to four digits after the decimal point.

Automatic invoicing based on the client's spending forecast

Automatic invoicing— enable this option to turn on automatic invoicing when the balance is low. For more information, see. Invoice. If the option is enabled, specify Threshold for sending a service expiration notification — specify how many days before the service ends notifications will be sent to the client. You can specify several values separated by spaces. The default value is 5 4 3 2 1 0.

Automatic invoicing based on credit limit usage

Overdue accounts receivable — enable this option to configure a credit limit or payment deferral. For more information, see. Credit limit management.

Invoice for unpaid expenses — choose how unpaid expenses are included in the monthly invoice:

  • total amount — the invoice will be issued for the full amount of unpaid expenses as of the first day of the month in which the invoice is issued;
  • taking into account the service provision date — the invoice will include expenses whose service rendering date is earlier than the first day of the month in which the invoice is issued.

Invoices

Expense-based invoice — choose how expenses are included in the monthly invoice:

  • taking into account the service provision date — the contract will include expenses whose service rendering date falls within the period when the contract is created;
  • taking into account the expense write-off date — the contract will include expenses whose expense creation date falls within the period when the contract is created.

Specify payments as of the invoice date — enable this option if you want only those payments that must be paid by the document date, inclusive, to be shown in the document.  The expenses related to these payments will be shown in the document when it is:

  • printed;
  • sent by email.

 By default, the option is disabled.

Currency rate as of the invoice date — enable this option to use the currency exchange rate on the date the contract is created when generating a contract for unpaid expenses. By default, when generating a contract for unpaid expenses, if the contract currency differs from the account currency, the exchange rate for the current date is used.

Allow deleting invoices in the previous period — enable this option to allow deleting contracts for a payer if contracts have already been created for later periods. For more information, see Contracts.

Invoice generation type — select the contract generation type that will be assigned to payers by default. For more information, see Contracts.

  • Based on expenses after payment;
  • Automatically, based on advance payments;
  • Based on payments due — the option is available if at least one company is linked to each provider in billing. For more information, see the article Company article;
  • On unpaid and paid expenses — the option is available if at least one company is linked to each provider in billing. For more information, see the article Company article.
    When selecting the generation type Based on payments due and On unpaid and paid expenses, specify the company on behalf of which the contract will be issued, and the contract currency. 

Working with payers

Payment Wizard — select the order of steps when issuing an invoice:

  • Payment method, payer selection;
  • Payer, payment method selection.

Allow a client to create payers from different countries — enable this option to allow clients to create payers from countries other than the client’s registration country. We do not recommend enabling this option if tax rates are used. For more information, see. Taxes.

Forbid clients to create payers with different statuses — enable this option to prevent clients from creating payers with different statuses. A client cannot be both an individual and a legal entity at the same time. For more information about payers, see Parameters of payers and companies.

Number of individuals — you can limit the number of payers with the "Individual" status for one client. Leave the field empty to set no limit.

Number of legal entities — you can limit the number of payers with the "Legal entity" status for one client. Leave the field empty to set no limit.

Number of sole proprietors — you can limit the number of payers with the "Sole proprietor" status for one client. Leave the field empty to set no limit.

Send new payer notification — enable this option to send an informational notification to the payer's email. Works only for individuals and sole proprietors. For more information, see. Notification types.
